Redesigning Scheduling for Caregivers
Redesigning Scheduling for Caregivers

I redesigned the scheduling experience to make it faster and easier for caregivers to manage their shifts. By streamlining the interface, improving navigation, and removing unnecessary steps, I reduced common scheduling errors and task completion time—helping caregivers focus more on care, not complexity.
In healthcare, scheduling can be a major source of stress and confusion. Reducing friction in that experience helps caregivers feel more in control of their time and work.

Helping Caregivers Find the Right Shifts
Many caregivers missed out on relevant shifts due to a lack of filtering, clarity, or visibility. I aimed to surface the right opportunities at the right time.
Highlight key details in a clear, easy-to-access format that encourages engagement and action, improving how shifts are presented to caregivers.

Understanding the Caregiver Experience
I gathered feedback from caregivers through surveys, app store reviews, and stakeholder conversations to identify key usability pain points.
This research revealed recurring issues with shift discovery, scheduling clarity, and communication gaps. These insights directly informed Phase 2, which focused on improving real-time notifications and shift approval tracking to better support caregivers

Clarifying Problems & Prioritizing Needs
Affinity mapping and survey analysis revealed caregivers' core frustrations with inefficient shift discovery, scheduling uncertainties, and communication breakdowns. On average, users rated the app's usability 4/5, navigation 4/5, and performance 4/5, with a recommendation likelihood of 7.6/10. Caregivers struggled particularly with filtering shifts by role, specialty, and distance, which led to frustration and additional manual effort. Delayed shift updates and a lack of approval transparency created schedule uncertainty, while auto-scheduling errors and limited communication hindered shift confirmations.
These insights clarified that the core issues stemmed from inefficient shift management and unclear workflows. As a result, simplifying the process became a top priority. I collaborated closely with stakeholders to ensure that the user needs and business goals were aligned, guiding the design phase toward a more intuitive solution.

Sketching Out Solutions
I experimented with layouts that emphasized clarity, fewer taps, and clearer shift states. These sketches helped me validate which content should surface first.
Based on feedback from caregivers, competitors, and stakeholders, key pain points emerged:
Ineffective Filtering: Caregivers wanted the ability to filter shifts by their role (e.g., LPN, CNA, RN) and retain those preferences across sessions.
Delayed Updates: Caregivers experienced uncertainty when shifts were not updated in real time.
Communication Gaps: A lack of clear confirmation for shift requests led to confusion and missed opportunities.

Designing for Clarity & Control
The design phase focused on removing usability blockers and streamlining caregiver workflows. Guided by insights from Discovery and Ideation, I implemented the following design solutions:
Enhanced Filter Functionality
I designed a more robust filtering experience to improve shift discoverability, allowing caregivers to sort by discipline, specialty, and distance. I also introduced persistent filter preferences so users wouldn’t have to reselect options each time—saving time and creating a smoother experience. Why this matters: Caregivers often work across multiple roles or locations, and the original system didn’t support efficient filtering for their needs.
Modernized User Interface
I applied a clean, minimalist aesthetic to improve visual hierarchy and reduce cognitive load. User research and usability testing were integral in refining the navigation, ensuring caregivers could easily find and manage shifts with fewer steps. Why this matters: Many users navigate with one hand or in high-pressure situations, so the interface needed to be fast and low-friction.
Notifications & Messaging (On Hold)
While real-time notifications and messaging were initially considered, they were deprioritized to focus on core usability improvements. This allowed us to enhance key functionality before adding more complex features. Why this matters: Prioritizing essentials helped us improve task completion and user satisfaction without feature bloat.

Reducing Task Time
A new role-based filtering system helped caregivers quickly find shifts relevant to their role (e.g., LPN, CNA, RN), reducing time spent scrolling through irrelevant options. On average, caregivers saw a 30% decrease in task completion time, allowing them to focus more on core responsibilities and less on navigating the app.

Clarifying the Workflow
The enhanced filtering system and streamlined design significantly reduced confusion during shift selection. Caregivers could more confidently identify and choose relevant shifts, minimizing ambiguity. This reduced the mental effort required to assess shift relevance, leading to a 25% drop in missed shifts. This more intuitive workflow made shift selection faster and more reassuring for caregivers, reducing friction and building trust.
We used a controlled rollout with a small group of caregivers to validate these improvements. This approach helped us identify key friction points and make real-time design adjustments before a full launch. Their feedback was instrumental in sharpening how shift results were prioritized and tailored. This iterative testing process ensured the final solution met caregivers’ critical needs.
